JOB SUMMARY
The Supply Chain Assistant is the primary person responsible for warehouse operations at MedGlobal’s Gaza Field Office. The role covers the full cycle of warehouse activity: receiving, storage, documentation, distribution of supplies and medications to medical and nutrition program sites, and continuous compliance with MedGlobal’s policies, procedures, and standard forms. The Assistant is expected to work accurately, proactively identify and resolve operational issues, and consistently seek to improve warehouse processes.

MAIN DUTIES AND RESPONSIBILITIES
List down the main responsibilities of the position
1. Warehouse Management
  • Manage all day-to-day warehouse operations including receiving, storage, and dispatch of supplies, medications, and medical and nutritional items.
  • Ensure proper storage conditions for all items, applying FEFO/FIFO principles, correct labeling, and
  • segregation of pharmaceuticals from general supplies; maintain cold chain requirements for temperaturesensitive products.
  • Distribute supplies to MedGlobal’s medical and nutrition program sites accurately and on time, coordinating with program and fleet teams as needed.
  • Monitor stock levels, expiry dates, and near-expiry items; alert the Supply Chain Coordinator in advance of shortfalls, stockouts, or required disposals.
  • Maintain warehouse cleanliness, access controls, and safety standards at all times.
  • Ensure compliance with warehouse health, safety, and security procedures at all times, and immediately report any incidents, hazards, losses, or security concerns to the Supply Chain Coordinator.
  • Conduct regular physical inventory counts and participate in periodic stock reconciliations to ensure inventory accuracy.
2. Documentation, Compliance & Reporting
  • Complete all required MedGlobal standard forms for every warehouse transaction without exception, including GRNs, waybills, delivery notes, stock cards, release forms, and temperature logs.
  • Ensure all documentation is accurate, signed, and filed in an organized, audit-ready manner — both physically and digitally.
  • Submit regular stock reports, consumption reports, distribution summaries, and a weekly activity update to the Supply Chain Coordinator.
  • Adhere strictly to MedGlobal’s supply chain policies, donor requirements, and applicable pharmaceutical regulations in all warehouse activities; report any compliance concerns immediately.
  • Support internal and external audits by ensuring full traceability of all warehouse transactions.
  • Proactively identify operational issues and propose practical improvements to warehouse processes and workflows.

QUALIFICATIONS AND SKILLS
Should have the following skills, education, and experience:
  • Bachelor’s degree in Pharmacy (required). A supplementary qualification in Supply Chain Management, Logistics, or a related field is a strong asset.
  • Minimum of 2-3 years of experience in warehouse management, pharmaceutical storage, or supply chain operations, preferably in the humanitarian or NGO sector.
  • Demonstrated knowledge of pharmaceutical storage standards, cold chain management, and FEFO/FIFO principles for medications and medical supplies.
  • Practical experience in warehouse operations including receiving, storage, dispatch, and inventory management; experience in humanitarian or emergency settings is strongly preferred.
  • Proficiency in English and Arabic languages (written and spoken); ability to maintain accurate records and prepare reports in both languages.
  • Strong organizational, analytical, and communication skills; patient, diplomatic, and collaborative.
  • Ability to work under pressure, manage multiple priorities, and meet tight deadlines.
  • Proficiency in MS Office applications (Word, Excel, Outlook); familiarity with inventory management or warehouse management systems is an asset.
